JOB PURPOSE: Administer, implement, and interpret university and department policies and procedures related to degree progress processes, academic degree requirements, student/degree data, and compliance issues. Improve workflow, efficiency, and effectiveness of degree audit processes. Specify requirements and support the successful development of the University's degree audit system.
Independently implement, administer and evaluate the degree audit system by identifying and executing tasks and objectives, making recommendations that impact policies and programs.
Support the planning, development, implementation, documentation, administration, and maintenance of the University's degree audit system.
Serve as lead encoder of the degree audit application for degree and academic plan requirements for up to four University Schools.
Encode University undergraduate general education requirements, and University residency/unit requirements.
Analyze and document user needs, existing and new policies, processes, procedures and operational methods to consider possible improvements to new and existing systems.
Research and capture all academic program requirements (majors, minors, plans, subplans, etc.) by meeting with departmental colleagues and referencing available resources (University Bulletin, webpages, etc.), to encode and maintain degree audit tables and program requirements in the degree audit system.
Define and document business requirements and test cases for system developments. May include the writing of all or a portion of functional specifications.
Engage in critical analysis of student data and degree program requirements and draft test cases for degree audit system to identify solutions and resolve substantial issues which may span multiple areas across degree audit and the student information system.
Coordinate with business and technology teams, ascertaining system requirements, such as program functions, output requirements, input data acquisition, and system techniques and controls.
Serve as a liaison and work closely with the University's Student Information Systems and University Information Technology groups to enhance the performance of the degree audit system.
Problem solve in areas such as degree audit system design, input/output integration requirements and procedural workflow between departments, schools and/or academic programs.
Perform testing of the degree audit related systems as part of the development and release of new degree audit capabilities, upgrades and patching of existing systems; may include developing test plans. Conduct and document results of testing.
Perform detailed testing and upgrades for the degree audit system; document testing results and work with vendor to resolve identified issues.
Test the transfer policy development in the degree audit system.
Test the accuracy of degree audit encoding against degree/plan requirements in consultation with departments, schools and programs across campus.
Update degree audit system on a rolling basis, and maintain the accuracy of degree/plan requirements annually in consultation with departments, schools and programs across campus.
Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program.
Perform regular audits on degree audit tables, degree requirements and exceptions entered into the system to ensure compliance with University requirements.
Analyze and develop degree audit report requirements, collaborate in establishing best practices for degree audit data report portals, and support additional related data needs.
Analyze and interpret policies; develop, revise and implement procedures for program or function.
Assist in the development and administration of operating policies and procedures concerning the degree audit system; advise on applicable rules, regulations, guidelines, and University policies.
Interpret and implement university policies in developing degree audit system best practices for administrators and users to follow.
Represent the degree audit unit as the key contact and subject matter expert within the department. Provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies.
Conduct regular training sessions for University employees on accessing and using the degree audit system.
Partner with academic advisors, schools, departments, and University offices to ensure accuracy of academic plan requirements; resolve degree audit issues for students, faculty and staff.
Organize and/or participate in outreach activities that may include developing communications and training; develop instructional materials, training and job aids.
Prepare appropriate materials to promote the degree audit system to the University community including training materials, presentations, reference guides, and tutorials.
Evaluate and determine recommendations on technology resources, negotiate with resources options and communicate directly with degree audit vendor.
May direct staff to perform various tasks and assignments.

Education & Experience: Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
Knowledge, Skills and Abilities:
Knowledge of degree audit system(s), business processes and work flow.
Experience with degree audit applications and student information systems; understanding of database driven applications.
Skill in conducting interviews.
Excellent communication skills, both written and verbal, including the ability to bridge functional and technical resources by communicating effectively with individuals of varying systems expertise and business needs.
Skill in conducting information sessions, either in person (small settings) or digitally.
Listening, negotiation and conflict resolution skills.
Ability to maintain good customer relations with partners.

Degree audit system implementation and PeopleSoft experience preferred, but not required.
