University Enterprises, Inc. at Sacramento State is seeking an Executive Director of Union WELL Inc. The Executive Director is responsible for the oversight, operations, finances, compliance and long range strategic planning for the Union WELL Inc. on the Sacramento State campus. Union WELL Inc. is an auxiliary of Sacramento State and is a California 501(c)3 not-for-profit corporation. The organization includes the facility operations and programs of two buildings: The University Union and The WELL (Recreation & Wellness Center). “Auxiliary Organizations are separate legal entities authorized in the [CA] Education Code to provide essential services to students and employees” (https://www2.calstate.edu/csu-system/about-the-csu/budget/2019-20-operating-budget/special-funds/Pages/auxiliary-programs.aspx). Union WELL Inc.’s annual budget is approximately $11.4 million, and the organization employs more than 40 full-time staff and 300 student employees. Serving the university’s more than 31,000 students, Union WELL Inc. provides hundreds of programs and events and hosts several hundred more programs and events sponsored by external organizations annually. Union WELL Inc. is central to a thriving campus community. With more than 25,000 persons accessing these buildings daily, Union WELL Inc. is the central hub of activity on campus. The University Union facility is approximately 220,000 square feet. The recently expanded facility houses food service operations, retail operations, multiple meeting and conference spaces, Associated Students, Inc., Student Organizations and Leadership offices, Women’s Resource Center, PRIDE Center, KSSU Student Radio, Public Information Desk, Games Room, Union Gallery, Terminal Lounge (music/video digital media), Student Computer Lounge, Meditation Room, computer and printer workstations throughout the building, a University Police Service Center, and various open lounge and study spaces. The WELL, totaling approximately 150,000 square feet, houses three fitness studios, a cardio suite, two fitness floors, a multi-activity court, four basketball courts, a rock climbing wall, four racquetball courts, an indoor running track, locker rooms, and a conference area. The WELL is also home to Student Health and Counseling Services. This position receives general guidance and oversight from the Vice President for Student Affairs and is a member of the Division of Student Affairs. The position is administratively responsible to the Vice President for Student Affairs and the Union WELL Inc. Board of Directors, in a shared role, for all services, programs and fiscal matters of Union WELL Inc. as designated by the President of Sacramento State. The position is a member of the Student Affairs Leadership Team and fully participates in division leadership with the other Associate/Assistant Vice Presidents and Executive Directors. Supervises directly 4 full-time employees and indirectly 40 full-time employees with 250-300 part-time staff and/or student assistants. Pay Rate: Commensurate with experience Duties & Responsibilities: - Works with the Board of Directors and staff to develop the annual Union WELL Inc. budget, obtain the approval of that budget from the appropriate University offices, The Advisory Groups, the Union WELL Inc. Board of Directors, and Chancellor’s Office.
- Oversees the expenditure of the approved budget and the management of the related accounts within policies and guidelines. Responsible for keeping all areas within budget and in compliance with audit requirements. Reviews monthly expenditure reports.
- Works through Sacramento State, the Business and Administration Unit and directly with auditors on all audits.
- Creates opportunities for generation of new revenue sources to meet increased service needs.
- Responsible for, in conjunction with the Union WELL Inc. Board of Directors and the University, overseeing the appropriate use of the student fees.
- Responsible for the long range operational financial planning for the Union and The WELL. Plans and manages the total corporate debt, currently incurred and future debt and ensures the fiscal vitality of the corporation.
- Works with the Union WELL Inc. Budget and Finance Committee and Campus Budget Office, to create reserve policies and to maximize the utilization of the student fees to deliver effective services to the campus community.
- Responsible for the preparation, negotiation, and execution all leases and subleases, including all contracts involving service providers to the Union and The WELL, tenants, and clients. Coordinates necessary licensing, contracting, bookkeeping, etc. of Union WELL Inc. services.
- Supervises the activities of the building maintenance, custodial and landscape staff and/or works with contracted vendors for these services. Establishes sound working relationships with other service departments on campus (e.g., Facility Maintenance Services, Media Services, Public Safety, University Enterprises, Inc., and Union WELL Inc. Tenants.)
- Assesses the condition of all facilities and formulates a plan to enhance facility functionality to meet ever-changing campus needs.
- Responsible for risk management associated with all programs and operations of the Union WELL Inc. Consults as needed with legal counsel as retained by the Board of Directors, secures appropriate insurance coverage, participates in CSURMA, and proposes appropriate policies to provide a safe environment for all.
- Develops and maintains effective space utilization plans. Conducts surveys of student needs, recommends new or expanded services, and oversees space renovation, new construction, or relocation of services to meet student needs.
- Responsible for facility planning including long term expansion and meeting the growing needs of the campus, and implementation of the Union WELL Inc.’s plan for the expansion of Union and The WELL facilities.
- Leads, in conjunction with the University and architects, the program planning process for Future Facility Development.
- Facilitates community, student and faculty participation in all future facility development and site planning and project design processes.
- Monitors the construction of facilities.
- Evaluates, designs, and plans for the facility to be operationally ready for the users. Prepares all facilities for opening including the function of each space, usability, relationships between space, décor, risk management, and creating the overall “welcoming” atmosphere.
- Oversees the processes to search and screen, hire, evaluate, and train all staff within Union WELL Inc.
- Works with the University Enterprises, Inc. for the development, implementation and updates to Human Resource policies and procedures, in accordance with federal, state, and local regulations.
- Leads a dual strategic planning process of Union and The WELL that is receptive and responsive to student, faculty and staff input regarding facilities, programs, and services.
- Leads change initiatives, translating the vision of the organization into the context of targeted change initiatives, redirecting approaches, and aligning with campus imperatives in the face of new opportunities.
- Creates and maintains effective relationships with other entities on campus including the University Administration, University Enterprises, Inc., Facilities Management, and ASI. Consults with student leaders, university administrators, faculty, staff, alumni, professional colleagues and community representatives on the development and evaluations of goals, programs and services of the Union and The WELL.
- Delivers proactive and strategic communication to the campus community about Union and The WELL in order to limit problems/criticism of the facilities, campus, and the President.
- Balances the need to communicate while remaining sensitive to the campus community feelings and attitudes.
- Serves as an Advisor to the ASI Board of Directors. Serves on university committees as requested.
- Shows leadership and participates actively at the Director meetings for the Division of Student Affairs. Represents Sacramento State in professional societies and organizations.
- Identifies concerns and assists in the formulation or revision of policies, procedures and secures approval for changes through the Board of Directors. Coordinates dissemination of publications outlining Union WELL Inc. policies as required.
- Works directly with the development of the Board of Directors as a governing body, planning training programs, retreats, and providing timely information about issues and concerns.
- Supports, through the Board of Directors, new Board of Directors members including a corporate board, a budget and finance committee and two advisory groups, one for each, the Union and The WELL.
- Collaborates with the Board to set the strategic plan and vision of the organization; to develop tactics for achieving Union WELL Inc.’s mission, goals and objectives, and to carry them out.
- Provides leadership in development of goals, objectives, and direction of Union WELL Inc. programs and in evaluation and delivery of services to students, faculty, and staff. Conducts periodic and/or on-going assessment and provides reports to Board of Directors.
- Enhances students’ interpersonal, leadership and critical thinking skills; develops nurturing and supportive networks; and helps to prepare them for active citizenship beyond the collegiate experience.
- Ultimately responsible for the Event Services operation. Ensures that all policies are followed with regard to the priority for reserving space. Develops and oversees the implementation of policy and procedural changes in the reservations process for both buildings in consultation with the Board of Directors.
- Ultimately responsible for developing and evaluating educational, cultural, social, and recreational services provided for a diverse, multicultural student body and campus community.
- Collaborates with campus partners to develop campus wide wellness initiatives.
- Ultimately oversees all marketing and promotion of services within the University Union and The WELL. Seeks partnerships with building tenants and with University departments in marketing efforts.
- Expands program offerings to include effective collaborations between the University Union and The WELL, and their respective campus partners, including Student Organization and Leadership, the Student Health & Counseling Services Residential Life, and other campus entities.
