The Conference Services Assistant Coordinator will provide administrative support to the Conference Services team and assist with the day-to-day operations during the summer conference season. This position will manage the Conference Services email and phone line during scheduled working shifts in addition to providing direction and guidance to our student worker, Conference Assistant team. This role will also lead the creation of registration materials and initiate/manage a departmental social media presence. The candidate must be committed to providing customer-service focused administrative assistance in addition to providing support in the field.
Position may require night & weekend hours.
Section II: Responsibilities
Reports to: Associate Director Conference Services & Conference Services Coordinator
Candidate must be a team player that possesses outstanding planning, organizational and computer skills. Must be able to prioritize and successfully manage several tasks while communicating regularly with the Associate Director of Conference Services. Candidate must thrive in a fast-paced environment and work efficiently with a varying amount of direction. Must demonstrate strong interpersonal skills and be comfortable engaging with student workers, internal resources and external clients with poise and self-confidence. Evenings and weekends hours are required.
Duties include but are not limited to:
Maintain the Conference Services email account and phone line Coordinate with internal resources including Physical Plant, Public Safety, Gourmet Dining, etc. Serve as a resource and deliver excellent customer service to all whom she/he encounters Manage all work order requests and follow up with any outstanding requests Lead the creation and completion of registration materials for group check-in's Partner with the One Card office for guest ID card production Initiate and maintain a social media presence for the department Assist with summer intern housing relations Maintain accurate files for laundering services Attend weekly meetings as required Support with onsite presence at events as needed Oversee student workers during scheduled working shift Offer suggestions for operational efficiencies Maintain accurate inventory of department office supplies and linen inventory Run reports and maintain housing chart binders as needed
Section III: Qualifications
Qualifications Bachelor degree plus one or more years of experience in office administration, customer service and staff supervision, preferably in a college or university environment Willingness for a flexible schedule with irregular hours Exceptional customer service experience Positive and energetic attitude with the ability to project a professional demeanor Strong and effective communicator with internal resources and external clients Proficient in Microsoft Office programs, G-Suite and a willingness to learn new technologies Physical Requirements: Lift and move boxes up to 20 lbs.
