Trinity Christian College seeks a part-time Assistant Registrar-Degree Audit Specialist. The Degree Audit Specialist will manage the degree audit system and verify completion of all requirements for degrees.
The essential duties and responsibilities of this position include but are not limited to the following:
Sets up degree audits in student information system annually for each academic program
Maintains/modifies degree audit components as needed
Runs mass update audit, mass update status, and status change processes
Communicates with registrar and department chairs regarding clarifications and consequences of changes in academic programs
In coordination with transfer evaluator, verifies accuracy of new student records, particularly with regard for course placements and waivers
In coordination with transfer evaluator, applies waivers, substitutions, and transfer credit as needed
Applies each student degree audit upon declaration of major and updates as needed or requested
Informs students and advisors/faculty of updates and changes in degree audits
Degree conferral and commencement
Publicizes and gathers graduation applications for eligible students
Provides comprehensive list of commencement participants and graduates to Provost for faculty approval and to Director of Event Services, Student Records Coordinator, Coordinator of Student Services, etc., for commencement and graduation activities
Completes final degree audit for each graduating student and verifies that student has met all requirements for the degree
Monitors completion of remaining courses for students who participated in commencement, including late degree conferral
Participates in new student and freshman registration (Blueprints), convocation, commencement, and other events associated with the Registrar’s Office
Knows college policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations—particularly in regard to degree audit and program completion
Monitors/updates information on the Student and Faculty portals (e.g., important dates, registration reminders)
A bachelor’s degree is required with one or more years of related experience in education setting, preferably post-secondary. An intermediate or advanced level of understanding of higher education structure and FERPA are preferred.
Additional qualifications include:
Ability to learn and use CAMS (Unit 4) database software
Ability to use Microsoft Office Suite effectively: Outlook, Excel, and Word
Ability to set up and maintain files on computer
Ability to read and comprehend instructions, correspondence, and memos
Ability to write reports and correspondence clearly and with correct spelling and grammar
Ability to present information effectively and clearly in one-on-one and small group situations with students, faculty, and staff
Telephone and email contact is frequent and ongoing
Customer service orientation for students, faculty, and staff from other departments
Personal desk space in open office shared with one or more other staff
Flexible hours, with some optional telecommuting
