Introduction (Description of School/College/Dept/Program)
Job Summary Reporting to the Administrative Associate Director, Retail and Dining Services, this position Researches, creates, and solicits bids and proposals from third party suppliers for critical, complex, and/or unique institution level procurements to provide cost-effective materials and services within an assigned commodity area or business unit. Collaborates regarding contract negotiations with signing authority. Provides peer guidance and proposes procurement strategies to senior leadership to support operational excellence of procurement functions.
Leads the development of complex solicitations requiring creative approaches to evaluation of third-party sourcing options in compliance with regulatory requirements
Leads and executes the research of suppliers to understand available products and services, assesses market conditions, identifies supply options, and makes recommendations
Drafts, submits, and communicates outcomes of procurement requests to suppliers, stakeholders, and institutional leadership
Answers questions and provides guidance regarding specific commodities and service areas to various individuals and groups based on set material or standards
Prepares and disseminates business cases to appropriate audiences, proposes strategic sourcing, and authors programs to stakeholders and institutional leadership
Implements required reporting protocols with suppliers to allow measurement of cost savings, reduction, avoidance, supplier management, and risk mitigation programs and strategies
Serves as primary point of contact for external stakeholders, maintains contracts, and negotiates purchase prices to obtain timely and meaningful contract sourcing results
Establishes and maintains bid and proposal records to comply with record-keeping requirements
Manage the accounts payable process for the department, paying vendor invoices and reconciling statements to ensure timely payments
Manage the accounts receivable and billing process for Catering services and other Retail Services charges
Minimum Qualifications
Bachelor’s degree
Three years relevant work experience in purchasing, accounting, or related field
Excellent, collaborative, communication skills including the ability to effectively interact with a diverse population
Evidence of strong organizational, planning, analytical, and problem-solving skills
Proficiency in Microsoft Office Suite software
Preferred Qualifications
Master’s degree and/or specialized training or certification in related subject matter
Experience working in higher education environment; food service a plus
Experience in inventory management and control
Experience with enterprise-wide purchasing and inventory systems
Experience selecting suppliers and service providers and/or maintaining supplier/vendor relationships
Demonstrated experience comparing products and services, negotiating prices and sales agreements
Demonstrated strong interpersonal skills that establish prior experience engaging and building relationships
