Detailed Description:Under the direction of the Assistant Registrar, Degree Audits & Compliance, the Degree Audit and Compliance Specialist (DACS) is responsible for processing transfer petitions for continuing students. Incumbent encodes university and degree requirements into the degree audit reporting system for over 100 academic programs and makes updates for approved program changes. DACS has a thorough understanding of post-secondary level academic policies and procedures, as it relates to degree and program requirements, grading policies, withdrawals, petitions, and transfer credit processes. DACS assists in the training of faculty and staff in the use of the degree audit reporting system. DACS works as a member of the NCAA certification team and will perform eligibility audits for student-athletes. DACS functions as a member of the University Registrar's team and provides backup coverage for phones, walk-ins, and other duties when needed.
Duties and Responsibilities: Degree Audit Reporting System and Transfer Credit
- Process approved transfer credit into Banner for continuing students, including student-athletes.
- Responsible for processing transfer petitions, substitution waivers, and waiver of residency through the workflow.
- Responsible for responding to email inquiries related to transfer credit, substitution waiver, and waiver of residency.
- Create transfer articulation tables in Banner per approved transfer petitions. Encode approved exceptions into the degree audit reporting system.
- Evaluate academic records and enrollment status of all student-athletes for continued eligibility in accordance with NCAA rules and regulations.
- Make recommendations to Assistant Registrar, Degree Audits & Compliance, by collecting, evaluating, and interpreting data related to degree requirements.
- Under the supervision of the Assistant Registrar, Degree Audits & Compliance, make adjustments to student degree audits.
- Image and index evaluated transcripts and e-file them to Xtender.
- Other duties as assigned by the Assistant Registrar, Degree Audits & Compliance, and Registrar.
Degree Management
- Work with the Assistant Registrar, Degree Audits & Compliance to create and update online catalog codes for both undergraduate and graduate programs.
- Encode degree and major/minor program requirements into the degree audit reporting system.
- Consult with department chairs and program directors on creating and/or modifying major and/or minor degree program templates.
- Perform diagnostics to determine if the system is properly configured and the necessary parameters have been input.
- Test and confirm that degree audits are accurately displayed. Conduct NCAA audits for student-athletes including but not limited to enrollment status, minimum academic progress, and unit requirements; identify any potential issues for student eligibility.
- Maintain student-athlete records in compliance with university and NCAA standards.
- Assist with an initial transcript evaluation and transfer eligibility for incoming prospective student-athletes.
- Serve as liaison between Athletics Department and Office of the Registrar.
Registrar's Office Operations
- Supervise and provide work direction to 1-2 part-time student assistants.
- Function as a member of the University Registrar's team; provide backup coverage for phones, walk-ins, and other duties when needed.
Job Requirements:Minimum Qualifications: - Minimum of high school diploma required.
- A minimum of two years of experience in an office environment is required.
- General working knowledge of Microsoft Office is required.
- Ability to work independently, use independent judgment, and achieve programmatic goals with great attention to organization and detail.
- Exceptional customer service skills.
- Strong verbal and written communication skills to effectively communicate with faculty, administrators, staff, students, and partner institutions. Ability to work with people at all levels.
Preferred Qualifications: - A college degree is preferred.
- Registrars Office experience at the college level is preferred.
- Broad knowledge of Degree Works by Ellucian or a similar degree audit reporting system is preferred.
- Knowledge of NCAA rules and regulations is preferred.
